Managing Storage Share instances
A guide to managing your Storage Share instances through the DanubeData dashboard — viewing status, accessing credentials, managing subdomains, connecting mobile devices, and handling errors.
Prerequisites
- At least one Storage Share instance (see Storage Share quick start)
Instance list
Navigate to Storage Share in the sidebar to see all your instances.
What you see
Each instance row shows:

Searching instances
Use the search bar at the top of the list to filter instances by name, status, subdomain, or plan. The filter applies instantly as you type.
Real-time status updates
The dashboard updates automatically when an instance changes state — you do not need to refresh the page. Status changes appear within seconds as your instance moves through the lifecycle (Pending → Provisioning → Running).
If another team member deletes an instance, it disappears from your list automatically.
Instance detail page
Click any instance name to view its full details.
Header
The header shows the instance name, current status badge, and action buttons:
- Back — Returns to the instance list
- Re-deploy — Appears when the instance is in Error, Pending, or Provisioning state
- Actions menu — Open Nextcloud, Connect mobile app, Re-deploy, Delete
Instance details card
Displays plan information at a glance:
- Plan — Display name (Sulina / Sf. Gheorghe / Chilia)
- Storage quota — Total storage available (1 TB / 5 TB / 10 TB)
- Max connections — Concurrent connection limit (50 / 100 / 200)
- Monthly cost — Plan price
- Datacenter — FSN1 (Falkenstein, Germany)
- Created — Date and time the instance was created
- Deployed — Date and time the instance reached Running state
- Version — Nextcloud version (currently Nextcloud 32)
Access card
Contains everything you need to connect to your Nextcloud instance.
Access URL
The full URL to your instance (e.g., https://my-files.storage.danubedata.ro). Click the copy button to copy it to your clipboard, or click the external link icon to open it in a new tab.
Admin credentials
- Admin username — Shown in a copyable field. Defaults to
adminunless you chose a custom username at creation. - Admin password — Hidden by default for security. Click the eye icon to reveal it. The password is fetched securely on demand and is not stored in your browser. Click the eye icon again to hide it. Use the copy button to copy the password without typing it manually.
Tip: If the password fetch fails, check that the instance is in Running state and try again. Contact support if the issue persists.
Subdomains card
Shows all subdomains for the instance and how many you have used out of your plan limit (e.g., "2 / 3 used").
- Primary subdomain — Set at creation and marked with a "Primary" badge. Cannot be removed.
- Additional subdomains — Listed below with copy and delete buttons. Click the trash icon to remove one.
- Add form — Enter a new subdomain name and click Add. The
.storage.danubedata.rosuffix is appended automatically. Each new subdomain gets its own TLS certificate and is added to the Nextcloud trusted domains.
The add form is disabled when:
- Your instance is not in Running state (subdomains require an active deployment)
- You have reached the subdomain limit for your plan
Danger zone
Contains the Delete Instance button. Deleting an instance permanently removes all data including files, database, and configuration. You must type the instance name to confirm deletion. Billing stops immediately.
Connecting the mobile app
- Open the instance detail page
- Click Actions > Connect mobile app
- Wait for the QR code to generate (a loading indicator appears while credentials are being created)
- Open the Nextcloud mobile app on your device
- On the login screen, tap the QR code scanner
- Scan the QR code
The app connects automatically with a dedicated app password created for that device.
Security: The QR code contains login credentials. Do not share it or display it on a public screen. Each scan generates a unique app password, so you can connect multiple devices independently and revoke access per device from the Nextcloud admin panel.
If the QR code fails to generate, click Try Again. The instance must be in Running state for mobile app connections.

Handling errors
Error state
If an instance enters the Error state, an error banner appears at the top of the detail page with two options:
- Re-deploy — Attempts a fresh deployment while preserving your configuration (name, subdomain, plan, credentials). Click the Re-deploy button in the banner or the Actions menu.
- Delete — Removes the instance entirely if you prefer to start over.
You can also re-deploy from the instance list using the Actions dropdown.
Re-deploy behavior
- Re-deploying does not create a new instance — it retries the deployment of the existing one
- Your chosen name, subdomain, plan, admin username, and credentials are preserved
- The instance returns to Pending state and progresses through the deployment lifecycle again
- The dashboard updates in real time as the instance is re-provisioned
Account limits and billing
Instance limits
Each team has a default limit of 2 Storage Share instances. When you reach your limit:
- The create page shows an Account Limit Reached alert
- You cannot create new instances until you delete an existing one or request a limit increase
- Navigate to Account Limits in the sidebar to request an increase
When you have only 1 slot remaining, a Low Instance Slots warning appears on the create page.
Payment method
A valid payment method is required to create Storage Share instances. If you have not added one:
- A Payment Method Required alert appears on the create page
- Click the alert to add a card via the payment modal
- No charge is made at this point — only a EUR 0 authorization to verify the card
Budget limits
If your team has configured a monthly budget and the new instance would exceed it, the create page displays a Budget Limit Exceeded error with a link to manage your budget settings.
Creating an instance — form details
The creation form is organized into three steps:
Step 1: Instance configuration
- Instance name — A unique name within your team. Used for identification in the dashboard and billing.
- Subdomain — Auto-suggested from the instance name (lowercased, special characters replaced with hyphens). Edit it manually if you prefer a different URL. Must be globally unique across all DanubeData customers.
- Admin username — Defaults to
admin. Choose a custom name if desired.
Step 2: Choose a plan
Select one of the three plans. Each plan card shows storage quota, subdomain limit, connection limit, and monthly price. The sidebar updates with the selected plan details and estimated cost.
Step 3: Datacenter location
Currently only FSN1 (Falkenstein, Germany) is available, providing GDPR-compliant EU data residency.
The sidebar on the right summarizes your configuration and shows the estimated monthly cost before you confirm.
